4 prompts to drive GenAI adoption in your organization

Have you noticed? Not a day goes by at the office without hearing the term Generative AI (GenAI). Pay attention, it’s true. GenAI has the potential to significantly contribute to organizations in terms of efficiency, data analysis, process automation and much more. However, realizing this potential requires a significantly different way of working. This presents a major challenge for many managers in embracing GenAI within their teams [1]. 


Research shows that in addition to issues of complexity, technical integration and ethics, the human aspect also plays a significant role in the relatively limited adoption of GenAI within organizations and teams. A lack of skills and expertise among employees and the fear of GenAI’s impact on their work hinder successful adoption [2]. 


A thoughtful change approach regarding GenAI is therefore not a luxury but a necessity for success. But how do you tackle this? By going through four specific phases in your approach, you significantly increase the chances of successful adoption. To stay within the GenAI theme, we offer you four prompts that you can give to your team to sustainably embrace and implement GenAI.  Prompts are essentially the instructions you provide to a Large Language Model (such as Copilot, ChatGPT, etc.) to generate a response to your question. 


These GenAI adoption prompts are linked to the four phases of Understanding, Desire, Ability and Doing. Besides prompts you can give your organization, we also share examples of prompts your employees can use in Large Language Models to help get started.

Prompt 1: Understanding  GenAI adoption

Organization prompt: “Gather all information on how GenAI contributes to our organizational and team goals. We offer a kick-off, documentation and several videos. Then think about how GenAI can help you and the team in daily tasks, such as automating routine tasks or analyzing complex data. Write down any questions you still have so we can discuss them with the entire team.” 


You ask the team to actively dive into GenAI and what it can mean for them, thereby increasing their understanding of its necessity and benefits. 


LLM prompt example for an employee: "You are an AI implementation specialist. What are the top 5 ways GenAI is transforming the role of [sector] professionals, particularly in [specific industry/role]? Provide specific examples tailored to [specific department], explain how these transformations occur, and highlight the benefits these AI-driven innovations deliver to both the organization and its employees." 


Prompt 2: Desire  

Organization prompt: “Together, create a list of ways GenAI can improve the team’s work in terms of efficiency, quality or creativity. Share examples from other companies or departments for inspiration. Set GenAI-related goals for the team and determine everyone’s role in achieving these goals.”  


By giving the team a clear role in what is expected of them in this change and involving them in determining the ‘how’ in the work process, motivation and willingness to change will increase. 


LLM prompt example for an employee: "You are an AI implementation specialist. How can GenAI inspire and motivate [sector] professionals, particularly in [specific industry/role], to embrace its potential? Provide 5 examples of transformative applications specific to [department or process] that enhance efficiency, creativity or quality. Highlight how these changes can positively impact both individual roles and overall team performance, including measurable benefits and success stories from similar organizations."

Prompt 3: Ability  

Organization prompt: “Follow the available training sessions from our organization on GenAI. Do the exercises provided in the training and try to use GenAI at least once daily. Then, create an action plan with the team to integrate GenAI into the work. Schedule several practice sessions together to practice and learn from each other about the possibilities.”  


When the team understands the benefits of working with GenAI and is motivated to integrate it into daily work, it’s time to enable the team to actually do so. Therefore, it’s important that they acquire skills and are enabled to take targeted actions to start working with it. 


LLM prompt example for an employee: "You are an AI implementation specialist. We have [list of AI tools, such as LLMs] available as GenAI tools. Create a weekly schedule that offers one hour of practice per day, alongside my daily work, so I don't lose productivity but can get started. You can split the sessions into two increments of 30 minutes. Provide training activities that are relevant to a [name of department]." 


Prompt 4: (Keep) Doing  

Organization prompt: “Gradually implement the actions the team has set to integrate GenAI into your work. Schedule evaluations together. Discuss what works, what doesn’t and how the team can take further steps. It’s important that we continue to grow as a team in small steps until we become masters of working with GenAI.”  


Once the team has acquired the basic skills, it’s time to actually put in the hours and realize the action plans. The focus here is on executing actions and continuous improvement until the GenAI goals are achieved.  


LLM prompt example for an employee: "You are an AI implementation specialist. I want to achieve [required result] using GenAI effectively. Here’s the prompt I used: [paste the used prompt], and here’s the response I received: [paste the answer you received]. Analyze why the result differs from my goal and suggest specific improvements to my prompt. 


And when these goals are achieved, it should be celebrated! Acknowledge progress and enjoy successes to keep the spirit of growth and improvement alive.
